The run of show for a company holiday party

Doors open, cocktail hour starts, and the music sits at conversation level. The first thing we do is find the banquet captain, because the kitchen sets the real timeline, not the printed one.

Once guests are seated, someone from leadership says welcome. Keep it under three minutes. A ten-minute welcome over the salad is the most common mistake we see. Long speeches belong later, after the main course, when the room is fed and settled, and that slot between the main course and dessert is where speeches, awards and long-service recognition go. The kitchen is quiet, the servers are out of the room, and everyone is still at their table. We introduce each speaker by name, hand over the mic, and play a walk-up bed under each award winner so the room claps in time instead of in silence.

Raffles and door prizes are where nights die. Thirty prizes read one at a time can take forty minutes, so we group the small ones and draw them in batches, then hold the two big prizes for the dance floor later in the night.

The floor opens straight after the last speech, while the room is already on its feet clapping. Leave a gap and people head for the coat check. We do not leave a gap.

Speeches, awards and the microphone

We bring wireless handheld mics, tested before doors, and can add a lapel mic for a speaker who wants their hands free. Send us the speaker list with names, titles and pronunciations, along with the order of awards. That sheet lives at the booth, and each speaker gets a quiet cue before they are called. If the CEO is running long, a music sting under the final line is a polite way to land the plane.

For a company slideshow or year-in-review video, send the file a few days ahead. We bring the projector and screen, check the audio track, and cue it to the speech so it starts on the word, not thirty seconds later. The playlist question

Every office has three generations in it and one person who hates one thing. Two short lists from you solve most of it: a must-play list and a do-not-play list. If a senior leader has a veto, tell us up front and we honour it without comment.

Early in the night the music is broad, familiar and mid-tempo, and we play clean edits all night. We take requests and we filter them, because one table asking for a niche genre is not a reason to empty the floor.

A room that will not dance

When a holiday party floor stays empty, it is rarely the music. It is usually the room: the dance floor is on the far side from the bar, the house lights are still on full, and a row of tables sits between the floor and the DJ booth.

So we fix the room. We ask the venue to bring the house lights down at a set time, and our dance lighting and LED up-lighting make the floor look like the place to be. We open with a group song, and we ask you to send the leadership team out first, because staff follow the boss onto a dance floor the same way they follow them into a meeting.

If your party is a lunch or an early afternoon event where dancing is unlikely, say so. We run trivia, table games and prize draws instead of pretending a 2 pm ballroom will dance, the same way we run a staff appreciation lunch.

Venues, setup and the December calendar

We usually arrive about ninety minutes before doors. For downtown Toronto hotels, tell us about the loading dock, freight elevator and parking. For a restaurant private room or a golf club dining room, we size the sound to the space so the servers can still hear orders. Most venues also ask for a certificate of insurance before load-in. We carry liability insurance and send the certificate directly to your venue.

On timing: December Fridays and Saturdays across the GTA book out by mid-October, and the first two weekends of December go first. If your date is flexible, a Thursday or a mid-January party often gets you both the venue and the DJ.
