A staff appreciation event is not a holiday party with a different date. The point of the day is the people, not the calendar, so the measure is simple. If the thank-you lands, the event worked. If it turned into one long speech and an empty room, it did not.

Two formats, two run sheets

Most appreciation events are one of two things, a daytime BBQ or picnic, or an evening dinner, and each gets its own run sheet.

At a daytime event the food line is the timeline. Doors at noon, the grill opens at 12:30, and for the next forty minutes people are standing in a line holding a plate. The mistake is starting the recognition while the back of the line is still waiting, because nobody claps for the employee of the year when they can smell the burgers and cannot get one. We keep the music at background level, watch the line, and hold the speeches until most of the room is sitting with food. Then it is a short welcome, the recognition block, and games or a prize draw to close.

At an evening dinner the run of show looks more like a holiday party: cocktail hour, seating, a short welcome, dinner, recognition between the main course and dessert, then the floor opens. The difference is that at an appreciation dinner the recognition is the main event, so we give it more room and protect it from the kitchen, the bar and the clock.

The recognition block

Long-service awards go in batches. Call the five-year group up together, then the ten-year, then the twenty-year. Each group gets a walk-up track, a photo with leadership, and a round of applause that we let run. Forty people called one at a time with a handshake each is forty minutes, and the room checks out by the third handshake. Batched by years, it takes ten.

Send us the full names, years and pronunciations ahead of time and we read from that sheet at the booth. The presenter gets a handheld or a stand mic, and we keep a second mic live so the DJ can pick up the pace if a name is missed or someone is in the washroom when they are called.

Shift workers, two sites and the guest list nobody has

Appreciation events often bring together people who never see each other: the plant and the office, the morning shift and the afternoon shift, two branches on opposite sides of Toronto. Often that means two seatings on one day so the floor is never uncovered, and we run the same recognition block for each one.

For a mixed room, the early games pair people who do not work together. If families are invited, we play clean edits all day, run the kids’ games early, and save the adult dance floor for after the little ones have gone home.

Games for adults who did not come to play

Most staff do not want to perform in front of colleagues, so games work when they are short, opt-in, and come with a prize.

Trivia with company questions is the reliable one. Who has worked here the longest, what year did the second location open, which manager once drove the forklift into the loading door. The people who know the answers are rarely the ones who usually get the spotlight, which is the point. A musical chairs scavenger hunt fills a dance floor in daylight.

We never pull a quiet person up to dance on their own. That is the fastest way to lose a room’s trust.

Outdoors: weather, power and the neighbours

A parking lot BBQ or a park picnic is a different job. Sound outdoors travels less than people expect, so we size the system up, and we need a covered spot for the booth and access to power. Wind on an open mic is the sound of every outdoor speech you have ever struggled to hear, so we use a windscreen and keep the presenter close.

If the event is on public land, the permit is yours and it usually limits amplified sound to set hours. A golf club, a brewery patio or a private venue may ask for a certificate of insurance instead. We carry liability insurance and send the certificate straight to the venue. As for rain, we bring the gear inside or under cover and the recognition block runs exactly as planned. The dance floor is the only thing weather can take away.
