An awards gala is a show with dinner in the middle. It has a script, a host, presenters, winners, sponsors and a clock. The music is the smallest part of it, and the DJ booth is where all of it gets held together.

The run of show for an awards night

A typical evening for a 250-person gala looks like this. Cocktail reception, with background music at conversation level, a sponsor logo loop on the screens, and a sound check with the host while the room is still empty. Guests are seated. A short opening from the host, sponsor thanks, then the first course. Awards are split into blocks of three or four between courses, never all at once. Dessert. The final award, the big one. Closing remarks. The floor opens.

Where it goes wrong is the awards running forty-five minutes over. Every presenter tells a story before opening the envelope, every winner thanks eleven people, and by the last award it is 10:45, the room is tired, and the dance floor you paid for gets twenty minutes.

Where it gets fixed is a hard time per award, a walk-up cue the moment the name is read, and a DJ who tracks the clock and gives the host a quiet signal when a block is running long. We build the run of show with you in minutes, and we hold it on the night.

Walk-up music, stingers and the ninety-second award

A good award takes about ninety seconds. The presenter introduces the category and reads the nominees over a soft bed. The envelope opens, the name is read, the walk-up track hits, the winner crosses the room, photo, a short thank-you, and the stinger takes them off. Ten awards at ninety seconds is fifteen minutes. Ten awards with no structure is an hour.

We keep a walk-up track for each category, or one signature track for the night if you prefer. If a winner is in the washroom, we cover with the bed and the host moves to the next one. If a presenter opens the wrong envelope, the host corrects it with a laugh and we keep the music under it.

Send us the categories, nominees, presenters and pronunciations at least a week ahead. We build a cue sheet from it and read the names back to you on the planning call.

Working with the venue, the AV and the host

Hotel ballrooms in downtown Toronto often come with an in-house AV company for the screens, the podium mic and the stage lighting. We work alongside them and do one joint sound check in the afternoon, so the podium mic, the walk-up music and the video sound all come out of the same speakers. The classic gala failure is a sponsor video playing through the projector’s own tiny speaker, and that one joint check is what prevents it.

For a banquet hall in Mississauga or a golf club in York Region with no AV team, we bring the whole system, including a mic on a stand for the podium and wireless handhelds for presenters. Either way the venue will want a certificate of insurance. We carry liability insurance and send it to your venue directly.

If you have a professional host or a senior leader hosting, we run a short rehearsal before doors. If you do not have a host, our DJ MCs the night.

Charity galas: the auction and the ask

A live auction or a paddle raise has its own rhythm. We hand the room to the auctioneer with a clean introduction and a mic they have already tested, and during the paddle raise the music stops completely. Silence sells. When the auctioneer closes, a sting and the music return, and we time the moment the ask lands to the moment the screens change.

The dance floor after a long awards show

Guests do not dance at 11 pm after three hours of awards. If you want a real dance floor, cap the awards block, open the floor by 10, and bring the leadership out first. Dance lighting and LED up-lighting in your event colours make the floor feel like the next part of the show rather than an afterthought.

If a floor is not the goal, say so. We close with a final song, the host says goodnight, and we play the room out. A staff appreciation dinner or a holiday party is usually more floor and fewer awards. A gala is the reverse.

Can you MC our awards gala, or do we need a separate host?

Either works. Our DJs are trained MCs and can host the whole night. If you have a host, we support them with cues, music and timing from the booth.
